QuickBooks
QuickBooks is my day-to-day engine for full-cycle accounting, payroll, and multi-state tax. The differentiator isn’t the software — it’s how it’s set up and automated. Clean structure plus automation is how the close at AA Innovations went from 10 to 6 working days.
The Workflow — How I Approach It
Set up the chart of accounts cleanly
Structure the COA so it maps directly to the statements — reporting becomes mechanical.
Automate recurring work
Repeating entries, close templates, and reconciliation workflows — built once, run every cycle.
Reconcile every cycle
Bank and credit reconciliations cleared continuously — discrepancies caught while small.
Validate before you export
Use built-in reports to check the books before anything is filed or reported externally.
Document the workflow
Turn the setup into an SOP so the process survives the person who built it.
My Operating View — The 2 Cents
QuickBooks is only as good as its setup. My 2 cents: invest in structure and automation once, and it pays every single month. Manual re-entry and tweaks are where errors and lost days hide — automate them and both disappear.
What Worked & What Didn’t
What Worked
- Automated reconciliation and close templates — cut the close 10 to 6 days.
- Clean COA structure that made reporting mechanical and defensible.
What Didn’t
- Manual re-entry — the source of most “mystery” discrepancies.
- Working on unreconciled historical data — the books were wrong before I touched them.
